Client Intake Coordinator
About the role Aion Therapy is looking for a warm, organized, and dependable Client Intake Coordinator to keep our behind-the-scenes operations humming and to be a friendly point of contact for people reaching out for care. If you're a self-starter who loves staying busy, keeps details straight, and communicates warmly, we'd love to hear from you. Most of your time will be spent on a variety of administrative tasks — data entry, record-keeping, intake tracking, and other assigned duties — with occasional calls and emails from prospective clients mixed in. This isn't a sit-and-wait-for-the-phone job: you'll always have work to do, and you'll answer calls as they come. This is a part-time, fully remote position — about 10 hours a week — perfect for someone looking for flexible, meaningful work. Please note: you must reside in Oregon to be eligible for this role. What you'll do - Handle a variety of ongoing administrative tasks — this is the heart of the role - Enter and maintain client information accurately in our EHR system (Sessions Health) - Keep our intake tracking organized and up to date - Take on other assigned duties that keep the practice running smoothly - Answer occasional calls and emails from prospective clients with warmth and professionalism - Share information about our services and help people understand their next steps What we're looking for - A self-motivated, organized person who likes staying busy and juggling tasks - A friendly, professional phone presence and strong writing skills - Experience with EHR, scheduling, or practice-management software (Sessions Health a plus) - Great attention to detail and comfort with data entry - Someone reliable and self-motivated who thrives working remotely - Discretion and care when handling confidential information Bonus points if you have experience in a healthcare or mental health setting, or familiarity with HIPAA.
