Dynamic Assistant Customer Service Representative – Appointment Scheduling & Showroom Experience Specialist – Customer‑Centric Role at brighthush

Work from home Full-time role Hiring

Welcome to brighthush: Where Design Meets Service Excellence

At brighthush, we’ve been turning ordinary spaces into extraordinary experiences since 1978. Our mission is simple yet powerful: to empower homeowners with thoughtfully engineered storage solutions that blend form, function, and artistry. Over the decades, we’ve grown from a local design studio into a national leader in custom closet and storage systems, earning a reputation for meticulous craftsmanship, cutting‑edge design, and an unwavering commitment to customer satisfaction.

We’re not just a company; we’re a community of designers, installers, and service professionals who share a passion for transforming homes into personalized sanctuaries. Our showroom is a living laboratory where ideas are tested, prototypes are refined, and clients walk away with a vision that feels both familiar and fresh.

We’re currently looking for an energetic, customer‑first Assistant Customer Service Representative to become the heartbeat of our client interactions. In this role, you’ll be the first point of contact for prospective and existing clients, orchestrating appointments, managing communications, and ensuring every touchpoint reflects the brighthush standard of excellence.

Key Responsibilities

Appointment & Calendar Management

  • Schedule Consultations: Use our proprietary CRM to book design consultations, ensuring optimal utilization of our consultants’ time and preventing scheduling conflicts.
  • Coordinate Multi‑Regional Appointments: Manage appointments across multiple showroom locations, balancing travel logistics and consultant availability.
  • Follow‑Up Automation: Set up automated reminders and confirmations to reduce no‑shows and keep clients informed.

Multi‑Channel Client Communication

  • Phone & Email Support: Answer inbound calls and emails with professionalism, empathy, and a deep understanding of our product line.
  • In‑Person Engagement: Greet showroom visitors, maintain the guestbook, and offer refreshments, creating a welcoming atmosphere.
  • Handle inquiries from vendors, partners, and internal stakeholders, ensuring timely and accurate responses.

Issue Resolution & Escalation

  • Identify client concerns, complaints, or special requests and route them to the appropriate department (design, installation, finance).
  • Collaborate with designers to develop solutions that meet client expectations while aligning with project timelines.
  • Document all interactions in the CRM, ensuring a clear audit trail for future reference.

Showroom Operations

  • Maintain a pristine showroom environment, adhering to our cleanliness checklist and visual merchandising standards.
  • Assist with product displays, sample management, and inventory updates.
  • Support showroom staff during events, workshops, and product launches.

Financial & Data Management

  • Reconcile receivables with vendor invoices, ensuring accurate financial records.
  • Process credit card transactions, handle refunds, and maintain compliance with payment security standards.
  • Enter and update client data, appointment details, and financial records with precision.

Administrative & Collaborative Support

  • Assist with installation confirmations, return visits, and post‑project follow‑ups.
  • Support the Centralized Scheduling team with daily updates, issue tracking, and reporting.
  • Collaborate with sales, design, and operations teams to deliver a seamless customer journey.

Essential Qualifications

  • 1–2 years of administrative or customer service experience in a fast‑paced environment.
  • Associate’s degree in Business Administration, Accounting, or a related field (preferred).
  • Exceptional verbal and written communication skills, with a polite, professional tone.
  • Strong calendar management and regional scheduling expertise.
  • Self‑starter with a positive attitude, capable of managing own schedule and thriving in a dynamic setting.
  • Tech‑savvy with rapid learning aptitude for business systems such as CAD, Epicor, Salesforce, Microsoft Office, and our proprietary CRM.
  • Excellent data entry skills with a keen eye for detail and accuracy.

Preferred Qualifications

  • Experience in the home‑improvement, interior design, or custom closet industry.
  • Knowledge of project management tools and scheduling software.
  • Prior exposure to credit card processing and financial reconciliation.
  • Fluency in additional languages (Spanish, French, etc.) is a plus.

Skills & Competencies

  • Customer‑first mindset with a passion for delivering exceptional service.
  • Strong organizational and multitasking abilities.
  • Effective problem‑solving and conflict‑resolution skills.
  • Adaptability to changing priorities and a willingness to learn new systems.
  • Team player who collaborates across departments to achieve shared goals.
  • Professional demeanor and strong interpersonal communication.

  • Cross‑Functional Projects: Exposure to marketing, operations, and product development initiatives.
  • Annual Performance Reviews: Constructive feedback and personalized development plans to accelerate your career trajectory.
