Media Billing Specialist- Part- Time

The Media Billing Specialist will serve as a liaison and support between the Accounting and Media teams in a responsive, efficient, effective, and accurate manner, providing billing administrative duties and acting as a centralized billing contact for all assigned media billing accounts (both linear and digital). Primary responsibilities include reconciling and inputting media invoices into the company's Media Planning and Buying software (MediaOcean: Prisma and Spectra) and working to resolve any invoice discrepancies. In addition, the Media Billing Specialist will be responsible for preparing all media billing packages required by clients in order to process and release payment to media vendors. This includes hardcopy backups and billing summary reports.

Job Duties and Responsibilities:

• Gather and enter all media invoices into the company media accounting system (MediaOcean: Prisma/Spectra) in order to align with the accounting system (C&P).

• Coordinate closely with internal and external teams in performing reconciliations, discrepancies resolution, and billing adjustments.

• Assist planners and accounting teams by gathering requested information for reporting and audits.

• Generate insertion orders (Print/TV/Radio) via Prisma and review for accuracy before sending IOs to media vendors.

• Follow up / contact media vendor reps to confirm/accept IOs when necessary.

• Gather advertising material deadlines and submission instructions for internal account service teams and production when needed.

• Organize and maintain media department resources to include insertion orders, traditional and digital buys, and traffic (when applicable); and file incoming media invoices, media kits, and media sponsorships into the media library.

• Respond to requests from various departments within the agency in a timely manner.

• Provide excellent service and overall communications to internal teams and media partners.

• Perform other billing-related and media buying duties as assigned.

Knowledge, Skills, and Abilities:

• Strong ability to focus on accuracy, attention to detail, and timely delivery.

• Knowledge of MediaOcean, especially Prisma, is a big plus.

• Ability to prioritize workload and manage multiple tasks simultaneously.

• Ability to work with a team, projecting an upbeat, positive approach.

• Possess excellent written and oral communication skills.

• Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) is required.
