Operations & Events Coordinator
We are hiring the first employee at Vertex League. If you are someone that likes organization, planning events, and taking the lead on projects, this is the position for you. With Vertex League, we teach estate planning law firm owners how to run their law firm like a business. Vertex League is growing and we need talented help to reach the next level. You'll run our in-person events end to end, own the member experience, run the Zoom room on every weekly call, and turn our raw teaching into finished courses, emails, and videos. Experience doing higher level administrative work and planning events is a must. In person in Canonsburg, PA, 20 minutes south of Pittsburgh. $78,000 to $92,000. About Vertex League A coaching and consulting business with more than 100 members that own estate planning law firms doing $500K to $3M+ a year. They get weekly coaching calls, workshops, a private community, a members-only AI platform, and in-person events (past year: Pittsburgh, Orlando, Charleston). My wife, Tracy, owns a law firm that I co-run with her. Everything we teach is what we are doing at our own law firm right now. Vertex League was founded in 2023 and is a leading law firm coaching and consulting business that is fast growing and intense. What you'll own In Person Events (3 to 6 a year – travel required). Venue, contracts, AV, menus and dietary needs, swag for events, all printed material (agendas, handouts, workbooks, placards), shipping, gift baskets. You arrive a day or two early, set up the room, and stay through teardown. During the event, the hotel and vendors are your responsibility. You handle everything running smoothly so that we can focus on teaching. Member experience. Onboarding and retention. You will ensure smooth access to our new members on day one, a welcome package with my best-selling book in it, 30/60/90-day check-ins, a few posts a week in the private Facebook community, and a read on who's drifting and might be looking to leave. You're the name members know and reach out to. The calls. Weekly coaching calls and monthly masterminds. You set up the Zoom room, manage the recordings, commitments captured and chased, recording trimmed and into Kajabi, and follow-up emails sent out. Email. Triaging and handling our email inboxes. The goal is for you to determine what needs one of us, what you can handle, what is informational, and what is not important at all. Production. Building email campaigns in Active Campaign (we write the content, you will segment the lists and get it sent out). Design and create workbooks and worksheets in Canva for our members. Basic video editing in Final Cut Pro (trimming, adding slides). Record social media videos and perform light editing (using automated editing software) and help with posting. Set up cameras, microphones, and digital whiteboards in our office for our weekly calls, monthly mastermind, and virtual workshops. It's ready when we walk in, and it's handled when we walk out. Who you are Most likely you come from events: planning, coordination, hotel conference services, retreats. The top of the pay range is for someone who's already done this; the bottom is for someone who's done most of it. No legal or law firm background needed. This position is for you if: You run something yourself: a side gig, a volunteer event, a household run on checklists and AI. You can take something new and make it happen. You have tenacity: you don't take no for an answer. When something goes sideways, you find a way forward, and we hear about it after you’ve already handled it. You take initiative: if we’re working in the law firm for a day, you have a list and you're working it. You are comfortable in Zoom and Canva, curious about Claude. We will teach ActiveCampaign, Kajabi, ClickFunnels, and Final Cut Pro. You are at home on a Mac and an iPhone. Everything we do runs on Apple, iMessage included. You probably won't love it here if: You'd rather be told what to do next, or need every detail approved before you move. You don’t check your work and deliver projects half-done. You cover for a mistake instead of saying so. Here, "I messed up" is where the help starts. You want a team to delegate toor to work from home. This is a doing role, in person, and the travel is part of it. The details Pay: $78,000 to $92,000 salary, with an incentive structure once we've worked together Benefits: 15 days PTO and 10 paid holidays Location: 333 Technology Drive, Suite 255, Canonsburg, PA 15317. In person, Monday to Friday, roughly 8:30 a.m. to 5 p.m. (core hours) Travel: 3 to 6 trips a year, 4 to 7 days each, expenses covered. Some travel lands on a weekend. All travel is required.
