Job Overview

We are looking for an experienced, detail‑oriented, and empathetic Virtual Assistant to serve as the first point of contact for prospective clients. Key Responsibilities

  • Intake Calls & Data Capture: Conduct professional intake calls with prospective clients, gathering essential clinical and scheduling information while ensuring a welcoming and supportive tone.
  • Insurance Verification (VOB): Verify insurance benefits and eligibility with U.S. insurance providers, reviewing copays, deductibles, and coverage details to provide accurate financial information to clients.
  • Financial Counseling: Explain patient financial responsibilities, including copays, deductibles, and out‑of‑pocket costs, ensuring transparency and building trust.
  • Client‑Therapist Matching: Evaluate client needs, treatment preferences, insurance coverage, and scheduling requirements to match clients with the most appropriate therapist, facilitating a smooth start to care.
  • Appointment Scheduling: Coordinate clinician availability and schedule appointments, managing calendar conflicts and ensuring timely follow‑ups.
  • EHR Management: Maintain accurate patient records and documentation in the U.S.‑based EHR system, ensuring data integrity and compliance.
  • Customer Service Excellence: Provide exceptional customer service to individuals seeking mental health care, demonstrating empathy, professionalism, and clear communication.
  • Compliance & Confidentiality: Uphold HIPAA compliance and ensure accurate handling of patient information, safeguarding privacy at all times.
  • Case Management: Independently manage patient cases in a fast‑paced healthcare environment, prioritizing tasks and resolving issues efficiently.

Essential Qualifications

  • Minimum of 3 years of experience supporting U.S. healthcare organizations, preferably in intake or administrative roles.
  • Hands‑on experience with patient intake and insurance verification (VOB).
  • Proficiency in contacting U.S. insurance carriers and reviewing benefits, copays, deductibles, and coverage.
  • Strong analytical skills to evaluate multiple factors—presenting concerns, provider specialties, insurance coverage, scheduling availability, and client preferences—to facilitate appropriate therapist‑to‑client matching.
  • Experience using U.S.‑based EHR/EMR systems (e.g., Epic, Athenahealth, Kareo).
  • Demonstrated ability to maintain HIPAA compliance and handle patient information with the utmost accuracy.
  • Excellent spoken and written English with a professional, neutral accent.
  • Strong empathy, professionalism, and communication skills.
  • Availability to work fixed U.S. Eastern Time business hours (9:00 AM – 5:00 PM EST).

Preferred Qualifications

  • Experience in mental health or behavioral health settings.
  • Knowledge of telehealth platforms and virtual care workflows.
  • Familiarity with billing codes (CPT, HCPCS) and insurance claim processes.
  • Previous experience as an independent contractor or freelancer in a remote capacity.
  • Proficiency in additional languages (Spanish, Portuguese, or local languages of South Africa).

Skills & Competencies

  • Exceptional organizational and time‑management abilities.
  • Strong problem‑solving skills and the capacity to work independently.
  • High level of attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite, Google Workspace, and cloud‑based collaboration tools.
  • Adaptability to evolving processes and technology updates.
