[Remote] Operations Manager
Note: The job is a remote job and is open to candidates in USA. Inspire Experiences is a faith-based organization focused on creating transformative experiences centered around God’s Word. The Operations Manager will oversee the execution of group tours, managing logistics, supplier relationships, and ensuring a seamless experience for guests from booking to post-trip evaluation.
Responsibilities
- Manage experience operations — Take a portfolio of sold boutique escorted group tours and turn each into a confirmed, fully sequenced operation. Hold the master timeline for every departure and make sure each piece lands on schedule
- Negotiate and contract with DMCs and suppliers — Negotiate competitive rates and terms with our DMC partners for EGT itineraries. Confirm allocations, book services, and manage commercial agreements with hotels, coach operators, attractions, restaurants, and guides, domestic and international. Collaborate with internal and external stakeholders to land contract terms that serve Inspire’s mission and margins alike
- Drive yield and revenue — Work with the Director of Experiences to build and run a strategy to maximize yield and revenue across the portfolio. Identify and negotiate partner deals that improve commercial performance, keep an eye on the competitive market so Inspire’s experiences stay strong, and deliver periodic reporting, presentations, and analysis of product performance
- Manage supplier execution and bookings — Liaise with DMC partners to confirm allocations and book services against each itinerary. Create booking confirmations for Clients, track availability, deadlines, and changes, and keep suppliers close from first hold to final voucher
- Manage the systems, SOPs, and data — Run tasks and follow-up rhythms in ClickUp, keep booking and Client records current in HubSpot, and manage registrations and supplier payments in WeTravel. Develop and maintain clear procedures, manuals, and workflows for system loading and contracting, and make sure supplier data, contacts, and contracts arrive on time, are stored accurately, and stay up to date
- Prepare Guests and Tour Leaders — Assemble accurate rooming lists, manifests, final itineraries, and travel documents. Create and manage Guest literature, including Country-Specific documents, Pre-Departure Information (PDIs), and Visa Guides, and help Guests and staff obtain visa-supporting documentation. Prepare Tour Leaders for travel: book their services, brief and debrief them, and build the trip-specific paperwork they carry
- Safeguard safety and quality — Uphold standards of safety and quality across every part of tour operation. Monitor contract performance and compliance, and take corrective action the moment something drifts
- Support tours on the road — Assist with operational and crisis issues while experiences are traveling. Once trained, take your turn on the 24-hour emergency phone rotation
- Reconcile, report, and improve — Close out each experience by verifying supplier invoices and payments and flagging variances. Consolidate and report Guest and supplier feedback to your DMC partners, refine EGT itineraries to lift feedback and popularity, and partner with Product on hotel descriptions and the product database. Stay current on industry trends and regulatory changes so our contracts and operations stay compliant
Skills

- Comfortable with new and emerging technologies, with an eagerness to streamline for guest and business sake
